My Realty Mate ("we", "our", or "us") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our real estate transaction management platform and related services (the "Service"). By accessing or using the Service, you agree to the terms of this Privacy Policy.

2. Information We Collect

2.1 Information You Provide

  • Account information: name, email address, and professional details when you register.
  • Transaction data: property addresses, contact details, dates, documents, and financial information you enter into the platform.
  • Communications: emails, messages, and other content you send or receive through the Service.
  • Contact directory: names, emails, phone numbers, and roles of parties you add to transactions.

2.2 Information from Third-Party Services

  • Google account data: When you connect your Google account, we access your Gmail messages, Google Calendar events, and Google Drive files as permitted by the scopes you authorize. We only access data necessary to provide our Service.
  • OAuth tokens: We securely store access and refresh tokens to maintain your connected service integrations.

2.3 Automatically Collected Information

  • Usage data: pages visited, features used, and actions taken within the platform.
  • Device information: browser type, operating system, and device identifiers.
  • Log data: IP addresses, access times, and referring URLs.

3. How We Use Your Information

We use the collected information for the following purposes:

  • Provide, operate, and maintain the Service.
  • Sync and display your emails, calendar events, and documents within the platform.

4. Google API Services – Limited Use Disclosure

My Realty Mate's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use access to Google user data to provide and improve user-facing features of the Service.
  • We do not transfer Google user data to third parties except as necessary to provide or improve the Service, as required by law, or with your explicit consent.
  • We do not use Google user data for advertising purposes.
  • We do not allow humans to read Google user data unless with your affirmative agreement, for security purposes, to comply with applicable law, or when the data is aggregated and anonymized.

5. Bank Account Data (Stripe Financial Connections)

My Realty Mate offers an optional bookkeeping feature that lets an administrator of your organization link the company's bank account through Stripe Financial Connections. This feature is used exclusively for internal accounting: reconciling incoming client payments against invoices issued in the platform and classifying outgoing business expenses.

5.1 How the connection works

  • The bank login happens entirely inside Stripe's secure interface. We never see, receive, or store your online banking username, password, or one-time codes.
  • We only request the permissions needed for bookkeeping: account balances and transactions.
  • Only users with an administrator role in your organization can connect, view, or disconnect a bank account.

5.2 What we receive and store

  • Account details: institution name, account nickname, account type, and the last four digits of the account number.
  • Balances: current and available balance of the connected account.
  • Transactions: date, amount, direction (money in / money out), description or merchant name, and pending status.

5.3 How we use it

  • Match deposits to the invoices they pay and register those payments automatically.
  • Categorize expenses and produce internal expense and income reports.
  • Nothing more: we do not use bank data for advertising, credit decisions, scoring, or profiling, and we never sell it or share it with data brokers.

5.4 Your control

An administrator can disconnect a linked bank account at any time from Admin → Accounting → Bank. Disconnecting immediately revokes our access to the account at Stripe and stops any further data retrieval. You may also request deletion of the previously imported bank movements by writing to info@myrealtymate.net. Stripe's own handling of this data is governed by the Stripe Privacy Policy.

6. Data Sharing and Disclosure

We do not sell your personal information. We may share your data in the following circumstances:

  • With your team: Data within the platform is shared among authorized users within your organization based on role-based access controls.
  • Service providers: We use third-party services (hosting, email delivery, AI processing) that process data on our behalf under strict confidentiality agreements.
  • Legal requirements: We may disclose information if required by law, court order, or governmental authority.
  • Business transfers: In the event of a merger, acquisition, or asset sale, your data may be transferred as part of the transaction.

7. Data Security

We implement industry-standard security measures to protect your information, including encrypted data transmission (TLS/SSL), encrypted storage of sensitive credentials (OAuth tokens, API keys), role-based access controls, and regular security audits. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

8. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data at any time by contacting us. Upon account deletion, we will remove your data within 30 days, except where retention is required by law.

9. Your Rights

Depending on your location, you may have the following rights:

  • Access: Request a copy of the data we hold about you.
  • Correction: Request correction of inaccurate data.
  • Deletion: Request deletion of your data.
  • Portability: Request your data in a portable format.
  • Revoke consent: Disconnect third-party integrations (Google, etc.) at any time through the platform settings or your Google Account permissions page.

We use essential cookies to maintain your session and preferences. We do not use third-party advertising cookies. Analytics cookies may be used to understand how users interact with the Service; these collect anonymized usage data only.

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child, we will promptly delete it.
